IMPORTANT ANNUAL MEETING INFORMATION


The WCC Council looks forward to the annual meeting of the Congregation. This year, as with many things, we will be doing the meeting a little differently. We’d like to update you on the meeting particulars.

First, we have moved the meeting date from Sunday, May 23rd to Sunday, June 13th at 10am. There are several reasons for this change, and we apologize for the inconvenience. Instructions for attending our first-ever simultaneous live-stream and in-person meeting will be sent closer to the date. 

Second, we will be making a recommendation to amend the Church Bylaws. This has not occurred in recent memory. The pandemic brought to light many situations that are impossible under our current Bylaws. Thanks to a dedicated Bylaw review team, spearheaded by Sharon King and including Bob Linn, Susan Frohling and Patti Van Cleave, we have recommendations for amendments that will allow for flexibility in scheduling meetings, electronic communications, and updating our quorum requirements to name just a few of the highlights. Because we are trying to be in compliance with out-of-date governing rules, we will be carefully organizing our meeting on the 13th to allow for strict adherence to the Bylaws.

This means, we will convene a “Special Meeting” in advance of the “Annual Meeting” to call a congregational vote for the following items:

  1. The current Bylaws, which remain in effect until amended, require that the full text of the proposed amended Bylaws showing changes shall have been mailed to the Active Members not less than three weeks prior to the meeting at which the amendments are presented. We will send the recommended Bylaw amendments within the required notice time frame, but will not be sending a hard copy by mail. We will ask the congregation to approve receipt of these changes electronically in lieu of a hard-copy mailing.
  2. Second, our current Bylaws state: The Annual Meeting of the congregation shall be held each year on the first Sunday of May. We have not met this requirement, as we are scheduling the meeting for June 13th. We will ask that the congregation waive the requirement in Article X of our Bylaws and agree to hold the Annual Meeting at the rescheduled time of June 13th, 2021 at 10am.
  3. Third, The Council will present a motion to allow for in-person and electronic votes to be tabulated. Our current Bylaws do not allow for electronic voting. The Council prefers that all congregational members, regardless of if they are in-person or at home, be given a chance to register their vote for these important items.   If approved, active congregational members may cast their votes electronically or in person here:

ELECTRONIC VOTING FOR THE SPECIAL MEETING

If all motions at the “Special Meeting" of the Congregation pass, given a minimum quorum of 60 votes, then we will proceed with the Annual Meeting as planned. If there are dissenters, then we would have to adjourn the Special Meeting to a later date.
